Begin with a purpose and a list of assumptions. Keep an estimate separate from money actually received or spent.

A worked planning example

Imagine 100 attendees paying $6 each. Gross receipts would be $600. Fixed costs are $150, and materials cost $1.50 per attendee. At 100 attendees, total costs are $300 and the amount left is $300.

Each extra attendee contributes $4.50 after the modeled materials cost. Covering $150 in fixed costs therefore takes at least 34 attendees under these assumptions. Real budgets may include additional costs, refunds, or fees.
